China DMC FAQ for Overseas Travel Companies
This FAQ answers the commercial and operational questions overseas travel companies commonly ask before working with a China DMC. Exact terms depend on the programme, dates, service model and written agreement.
Partnership and communication
Can we start with one test booking?
Yes. A live enquiry is often the best way to evaluate proposal quality, response time, commercial clarity and operational fit.
Will you communicate directly with our clients?
Communication rules should be agreed in advance. Direct contact may be needed for specific operational purposes, but it should follow the partner’s client-ownership and escalation requirements.
Can you work behind our brand?
White-label presentation and operating support can be discussed. Define document branding, guest communication and responsibility before confirmation.
Proposals and pricing
What information is needed for a quotation?
Provide company profile, market, dates, traveler numbers, rooming, route priorities, hotel level, required services and budget positioning. Use our quotation brief checklist.
Can you quote before the final passenger count?
Yes, using a stated price basis or number bands. The proposal should explain how price changes when passenger numbers change.
How long is a quotation valid?
Validity depends on supplier terms, currency, transport and availability. The written quotation should state its expiry and any services requiring reconfirmation.
Does a quotation guarantee availability?
Not unless explicitly confirmed. Proposal pricing and actual reservation status are different; hotels, tickets and special services may remain subject to availability until booked.
FIT, groups and series
Do you support FIT and private groups?
Programmes can be developed for FIT, private groups and series, with different pricing, data deadlines, communication and change-control procedures.
Can one DMC coordinate a nationwide itinerary?
Yes, provided one team owns the full programme and coordinates local services, transport and exceptions between destinations.
What changes for a series tour?
Series work needs departure calendars, room and transport allocations, minimum numbers, standardized inclusions, release dates and controlled amendments.
Reservations and traveler data
When are passport details required?
Many rail, air and attraction reservations require passport information. The exact deadline depends on the service and should be stated in the operating timeline.
How should special requirements be communicated?
Share mobility, dietary, allergy, medical or rooming requirements early and identify which items require confirmation. Sensitive data should be limited to the operational need.
Operations and changes
What happens when travel plans change?
The partner and DMC should follow the agreed escalation and authorization process. Availability, cancellation cost and new service cost must be assessed before confirming the change.
How are emergencies handled?
The operating file should contain local contacts, partner contacts, traveler insurance information where supplied and a clear process for medical, transport or document incidents.
Can responsible-travel requirements be included?
