China Group Tour Operations Checklist for Overseas Travel Companies

A China group programme succeeds when the itinerary, rooming, transport, meals, guide communication and change process are controlled as one operation. Overseas travel companies should agree responsibilities and information deadlines with the China DMC before reservations begin.

1. Define the group and commercial model

  • Group size, age profile and traveler market
  • Private group, closed affinity group or scheduled series
  • Guide language and service level
  • Target hotel category and ground budget
  • Who owns the end-client relationship and traveler communication
  • Quotation currency, validity and payment stages

2. Test the route before selling

Check door-to-door transfer time, hotel check-in, coach access, luggage handling, attraction reservation windows, meal geography and realistic daily walking. A route that looks attractive on paper may fail when group movement is added.

3. Confirm hotel and rooming requirements

  • Twin, double, single and triple-room assumptions
  • Complimentary or staff-room policy if applicable
  • Breakfast arrangements and early-departure requirements
  • Porterage, luggage storage and coach access
  • Rooming-list deadline and name-change rules
  • Deposit, release and cancellation schedule

4. Plan transport as an operation

Vehicle capacity should include luggage and operational staff, not only passenger seats. Rail and flight movements need passport-data deadlines, ticket conditions, station or airport assistance and a plan for delayed or separated travelers.

5. Control attraction reservations

Many major attractions require advance reservations and passport information. The operating file should show booking owner, submission deadline, confirmation status and the fallback if capacity or opening arrangements change.

6. Design meals for the group

  • Meal budget and included beverages
  • Dietary, allergy, religious and accessibility requirements
  • Table arrangement and restaurant capacity
  • Location relative to the day’s route
  • Early breakfast, packed meal or late-arrival arrangements
  • Procedure for last-minute changes

7. Set the guide and communication structure

Clarify whether one national escort, local guides or both are required. Define who communicates with the tour leader, overseas office and travelers, and how daily changes are approved and documented.

8. Collect traveler information securely and on time

Agree the minimum data needed for reservations and operations, the submission format, deadline, correction process and authorized recipients. Sensitive traveler information should not circulate more widely than the agreed operational need.

9. Build an exception and emergency process

  • Missed or delayed international arrivals
  • Domestic transport disruption
  • Illness, injury or mobility changes
  • Lost documents or luggage
  • Weather and attraction closure
  • Supplier substitution and service complaints
  • Who can authorize additional cost

10. Run final pre-arrival checks

Reconfirm passenger data, rooming, arrival details, guide assignments, vehicle capacity, tickets, restaurants, dietary needs, emergency contacts and document distribution. One master operational file should show the current version.
