A China DMC can produce a faster and more accurate proposal when the overseas partner supplies a structured brief. Dates, traveler profile, route priorities, hotel level, service scope and budget positioning are more useful than a request for “your best itinerary and price.”
Essential information for a China DMC quotation
1. Company and market profile
- Company name, website and primary market
- FIT, group, series, incentive or specialist-tour model
- Expected customer profile and service positioning
- Whether white-label documents or communication are required
2. Travel dates and flexibility
Provide arrival and departure dates, whether flights are booked and how much flexibility exists. Dates affect hotel availability, transport, attraction capacity, public-holiday conditions and quotation validity.
3. Traveler and rooming profile
- Number of adults and children, with children’s ages
- Estimated or confirmed group size
- Twin, double, single, triple and family-room needs
- Tour leader, escort or staff-room requirements
- Mobility, dietary, allergy or other operational considerations
4. Arrival, departure and route priorities
List international gateways, preferred destinations, must-see experiences and any places that should be avoided. Explain the purpose of the journey so the DMC can test route logic rather than simply connect a list of cities.
5. Accommodation expectations
State hotel category, preferred style, location priorities, room-size expectations, international or local-brand preference and any facilities that matter. If named hotels are requested, clarify whether equivalents are acceptable.
